Todoist is a task manager from Doist with desktop apps for Windows, macOS and Linux, mobile apps, wearables and browser extensions. A free plan is available; Pro and Business plans add more features.

2 min read

Todoist turns a sentence like “Send invoice to Acme every Friday” into a recurring task with the right date. That quick-add habit is why many people stick with it for both office and personal work.

How it organizes work

  • Projects and sections: Group tasks by client, team or area of life.
  • Natural-language dates: Write “tomorrow 3pm” or “every first Monday” and Todoist schedules it.
  • Priorities, labels and filters: Mark urgent tasks and build custom views across projects.
  • Today and Upcoming: See what is due now and what is coming next.
  • Shared projects: Assign tasks to colleagues and comment on them.

Getting the desktop app

  1. The Download button opens Todoist’s official downloads page.
  2. Pick Windows, Mac or Linux. Apps are also listed for iPhone, iPad, Android, Apple Watch and Wear OS.
  3. Sign in, and your tasks sync across every device.

Todoist also offers email add-ons and browser extensions; Todoist for Chrome adds tasks from any web page.

Free and paid plans

The free plan is enough for a personal list with a limited number of projects. Paid Pro and Business plans add features such as reminders, more projects, longer activity history and team administration. Todoist’s pricing page lists the current limits for each plan, so check it if a specific feature matters to you.

If you work entirely in the Microsoft ecosystem, Microsoft To Do is a free alternative with Outlook integration.

Pros

  • Fast natural-language quick add
  • Apps on almost every platform, including Linux
  • Shared projects for small teams

Cons

  • Some useful features require a paid plan
  • Not a full project-management tool
