Microsoft To Do is a free task list app from Microsoft for Windows, macOS, Android, iOS and the web. It syncs through a Microsoft account and shows tasks flagged in Outlook.

2 min read

Microsoft To Do is a clean task list that follows you from the office PC to your phone. If your company already runs on Outlook and a Microsoft account, it slots in with almost no setup.

Everyday features

  • My Day: A fresh daily list where you pick the tasks you want to focus on today. Suggestions help you carry over unfinished items.
  • Lists and groups: Separate lists for projects, clients or home, grouped in folders.
  • Steps, due dates and reminders: Break a task into steps and get a reminder at the right time.
  • Shared lists: Share a list with colleagues or family so everyone can tick off items.
  • Outlook integration: Tasks from Outlook and flagged emails show up in To Do.

How to install

  1. The Download button opens the official Microsoft To Do site.
  2. On Windows, install it from the Microsoft Store; on a Mac, from the Mac App Store. Android and iPhone apps are in Google Play and the App Store, and the web version runs in the browser.
  3. Sign in with a personal Microsoft account or a work or school account.

Free to use

To Do costs nothing and has no premium tier; you only need a Microsoft account. Work and school accounts may be managed by your organization’s IT department, which can control sharing.

To Do is meant for personal and small-team lists. For projects with labels, filters and a natural-language quick add, compare it with Todoist. Teams that already use Microsoft 365 get To Do with the same sign-in.

Pros

  • Free with no paid tier
  • My Day keeps daily planning simple
  • Works with Outlook tasks and flagged emails

Cons

  • Fewer project features than dedicated task managers
  • Requires a Microsoft account
