QuickBooks is accounting software from Intuit. The Intuit QuickBooks for Business mobile app is free to install and needs a QuickBooks Online subscription; QuickBooks Online also offers a Mac app, while QuickBooks Desktop is sold to new US customers as Enterprise.
“QuickBooks” covers more than one product, and the right download depends on which one you use. Most small businesses today use QuickBooks Online, a subscription service in the browser, and the official apps below connect to it.
The QuickBooks mobile app
The Intuit QuickBooks for Business app for Android and iPhone lets you:
- Create invoices that customers can pay online, including voice-powered invoicing with Siri on iPhone.
- Snap receipts, business cards and notes so the details are captured into your books.
- Accept card and digital wallet payments from your phone.
- Track mileage automatically and run reports such as projected cash flow.
The app is free to install, but it requires a QuickBooks Online subscription. The iOS version currently needs iOS 16 or later.
The QuickBooks Online Mac app
Intuit’s help article explains how to get the Mac app: sign in to QuickBooks Online, open Settings, select Get the desktop app and choose Download for Mac. You then sign in with your QuickBooks Online credentials. You can also keep using QuickBooks Online in a browser at qbo.intuit.com.
What about QuickBooks Desktop?
QuickBooks Desktop is a separate Windows program with its own data files. On Intuit’s US site, the Desktop product currently offered to new customers is QuickBooks Desktop Enterprise, and Intuit points existing Desktop users towards QuickBooks Online. There is also a QuickBooks Desktop companion app in the App Store for existing Desktop users.
Before you subscribe
Compare plans on Intuit’s site, since features such as payroll and inventory depend on the tier. If you want accounting without a subscription, GnuCash and Manager are free desktop alternatives, and Xero is the main cloud competitor.
Pros
- Invoicing and payments from the phone
- Receipt capture into your books
- Mac app for QuickBooks Online
Cons
- Requires a paid subscription
- Desktop and Online are separate products, which can confuse new users
