Microsoft Authenticator is a free sign-in and two-step verification app from Microsoft Corporation. It runs on Android and iOS. Its official page is on microsoft.com.
A password on its own is easy to steal. Two-step verification adds a second check, and Microsoft Authenticator is the app that provides it: when you sign in, you approve the request on your phone or type in a short code from the app.
What does Microsoft Authenticator do?
- Sign-in approvals: For Microsoft personal, work and school accounts, approve a sign-in with a tap instead of typing a code.
- One-time codes: Generate six-digit codes for other services that support authenticator apps, such as many email, social and gaming accounts.
- Passwordless sign-in: Sign in to your Microsoft account using just your phone, protected by your fingerprint, face or PIN.
- Passkeys: Store passkeys for supported accounts.
- Backup: Back up your accounts to the cloud so you can restore them on a new phone.
Adding your first account
- Install Microsoft Authenticator from Google Play or the App Store; Microsoft’s page for the app links to both.
- Open the app and tap Add account. Choose the account type.
- For other services, turn on two-step verification in that service’s security settings and scan the QR code it shows.
Before you switch phones
Turn on cloud backup in the settings before you change phones; otherwise you may need to set up two-step verification again for every account. Never approve a sign-in request you didn’t start yourself.
Pros
- One-tap approvals for Microsoft accounts
- Works with other services that support authenticator codes
- Cloud backup for switching phones
Cons
- Losing your phone without a backup can lock you out
- Approval prompts can be abused by attackers if you tap without checking
Frequently Asked Questions
Can I use Microsoft Authenticator for non-Microsoft accounts?
Yes. Any service that supports standard authenticator apps can be added by scanning its QR code; the app then generates one-time codes for it.
What happens if I get a new phone?
If you turned on cloud backup, sign in to the app on your new phone and restore your accounts. Some work or school accounts may still need to be verified again.
